How to write a congratulation correctly

During holidays we write a lot of congratulations, not only personal ones. Logically a question appears, how to write a good business congratulation so that it is sincere and warm, but not formal and empty, and so that they also do not lose their status? Let it be a separate person or a company, the rules are nearly the same. 

And before we come to the rules, it is necessary to take into account preparatory moments.  

Firstly, we would be ready to observe the etiquette of a business correspondence, that is why:  

  • Let’s say “No” to good day;  
  • word «dear» in the beginning of the sentence let’s not write down with a comma after; 
  • let’s not use contractions;
  • let’s be careful with metaphors, and it would even be much better that we avoid them;
  • let’s not overuse exclamation marks and let’s not forget about the language of officialdom.

If you write to a person, find information about addressee (age, occupation, achievements) or, if it is possible, find on the Internet an interview with him or his texts. The style of the text of congratulations, harmonious with the way of thinking of the addressee, would give more response in the heart.  

If you write to the team of the organization, learn information about it (goals, values, achievements). Also do not forget to clarify the spelling of names and positions.  

Now let’s move forward to the rules.  

Address “dear” is suitable if it is a human being. If you are writing to an organization, then you should lean back over cooperation between your companies. Acceptable variants in different cases would be: 

  • personnel addressing to a chief or a general addressing – to the team: “Dear____ and headed by you team!”;
  • official: «Dear employees of the company ___»;
  • nonofficial: «Dear friends! ».

In the greeting part you need to define what is the event you are congratulating a person or a company on.  

Emotional message is the most important part of the congratulation. Here in you need to highlight the merits of the addressee  ( achievements in production, reputation, serving one’s business, etc.) and then to write about the perspectives, basing on the strong sides of a person or a company, which you were writing in the first part of this issue or to say about more achievements.  

Important wishes. Write down a sincere congratulation. Wish what you would like to have yourself but looking back at another person or an organization. 

Ending: here in there two variants which suit well: 

  •  «Best regards…»;
  • If you wrote down in the beginning “Dear”, then you could finish up your congratulation simply with Full name and the position of the chief. 

Extra tips:

  • Do not write congratulations in the format of poems- that is vulgar, and believe, nobody needs it;
  • Avoid clichés like: “heartily”, “sincerely”, “with all my soul” (if there are good relations between the companies, then anyway they would know that congratulations are sincere, and if not, then one word “sincere wish” would not change anything); 
  • Show in your congratulation individuality, but not overdo it.  

Use in your letter real achievements of the organization or professional traits of a person. Then you would be able to write a beautiful and original congratulation, being sincere and not worse off to a banal “happiness” or “Success”.
